Introduction

Running the Rift Marathon Ltd aims to provide all of our competitors, followers, potential runners, and webpage visitors a fun, safe running or cycling experience in and about Uganda. You put your trust in us as we guide you through untouched Africa, from dodging boda-bodas on the streets to keeping you out of the clutches of wild beasts as you explore all of its wild glory. Something else that we take very seriously is keeping your personal data secure and want to continue to have your trust and permission to do so.

This privacy policy outlines what we do with the information you provide us, how we keep it safe, and what you as a user of our services can do if you ever decide that you don’t want us to have it any longer. We are not in the business of selling or trading your personal information with anyone for marketing purposes—Full Stop. But we do want you to be aware of what information we do have and what happens to it when you entrust it to us, because it obviously belongs to you and that is your right. So settle in with a cuppa (or a pint) and dive right in. We can’t promise it will be thrilling, though.

P.S. Keep in mind the following as you read:

  • “Running the Rift Ltd” refers to the organisation that manages Running the Rift Marathon (42k, 21k, 10k races) and Ride the Rift Sportive. These will collectively be referred to as “RTR Events” from here on out.

  • The term “User” means anyone who visits us online (including social media) or signs up to be on our mailing list.

  • “Participant” refers to anyone who is fully registered and has paid the deposit to participate in any event managed by Running the Rift Ltd.

What We Collect

Website Cookies

Our websites use cookies to improve your user experience while you are online with us. A “cookie” is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and then updated each time each time you visit runningtheriftmarathon.com and ridetheriftsportive.com. Allowing cookies from our sites might mean that you see us more often in advertisements on other websites if we market through them. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.

To block our websites from doing this, you can decline their use when our websites load on your browser. Alternatively, users can modify their browser settings to decline cookies, although this may prevent you from taking full advantage of the website.

Analytics

When someone visits www.runningtheriftmarathon.com and ridetheriftuganda.com, we use analytics from Square Space (the hosting platform for our websites) to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site and the country from which they visit us. This helps us know where people are hearing about RTR Events and generally where in the world interest is coming from. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

Mailing Lists

Users are given the option to register for news and updates regarding RTR Events before they sign up as paid participants. We only ask for your first name, surname, and email address, which we use to tell you all about the great adventures awaiting you, payment options, and send other neat things like stunning photos of the Rwenzori Mountain Range and adorable children running the course with our runners. We only send information that you have agreed to receive, and we won’t advertise unrelated content to you because that is seriously annoying. The contact information you provide us is only accessible by members of the Running the Rift Marathon Ltd staff and we NEVER give that to anyone else for any reason.

We use a third-party provider, MailChimp, to deliver these emails. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our message content to make sure it’s useful and interesting. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing us at info@runningtheriftmarathon.com.  

Event Registration and Payment

When you register and pay to participate in one of the RTR Events, we have to ask you for certain details that are necessary to keep you safe, healthy, secure, and well informed throughout your involvement with Running the Rift Marathon Ltd. This information will be shared with Kyaninga Lodge Management and Exile Medics Team for registration and medical purposes only. Exile Medics Ltd is a professional, UK-based medical organisation that follows international best practices for handling sensitive and medical information, so you can rest easy that your information is safe with them.

All information provided by Participants to Running the Rift Marathon Ltd will be stored on Google Drive, where it is encrypted and password protected. Only select authorised members of staff from Running the Rift Ltd and our partners will be granted access to it, and only if it is absolutely necessary. Your personal informational will only be used as outlined below.

  1. Your Contact Information: We use this to contact you with information regarding the event, trip updates, announcements, etc. This information includes your address, full name, phone number, and email address. If you give us permission, we will retain your contact information and continue to send information to you about RTR Events. Your permission to receive these emails can be revoked by you at any time by clicking “Unsubscribe” at the bottom of any email.

  2. Emergency Contact Information: In the unfortunate case of an emergency situation, we will use this to notify your desired Emergency Contact. We will ask for their name, phone number, address, and email and will only share this with medical personnel if necessary.

  3. Passport Information: We have to provide this information to our insurance provider.

  4. Medical Information: Exile Medics Ltd is our medical support provider and they work extremely hard to ensure that our runners are fighting fit to take on the hills of Uganda. To help them do that, we ask you to provide basic medical information to help them do their job. A member of the Exile Medic Team may request additional medical information at any point during your involvement with Running the Rift Ltd.

  5. Payment/Banking Details: All payments for RTR Events are made using Stripe. Running the Rift Ltd never have access to your financial data that you give them. You can find Stripe’s Privacy Policy HERE.

All information (with the exception of your contact information with your permission) will be securely deleted at the conclusion of your RTR Event.

Flight and Travel Information

As you can imagine, organising a large group of runners can be a bit like herding cats. We try to keep tabs on Participants’ movements and travel plans so that we can efficiently organise your transfers to and from the stunning and remote Kyaninga Lodge. Prior to your arrival in Uganda, we will send you a message asking for basic travel information so we can ensure that you arrive to Fort Portal safe, sound, and on time. This information may be shared with Kyaninga Lodge Staff as they help us to organise transportation, but this is only on an as needed basis.

Travel Insurance

To put it simply, Uganda is a developing nation and, as such, operates a bit differently than what we might be used to at home (All part of the adventure, eh?!). Because of this, we ask Participants to have a travel insurance policy with their preferred provider and to provide us with the below information. This ensures that you are covered in case things don’t go to plan, and that in such case, we have access to that vital data in a hurry so that time is not wasted trying to find it. We only keep this for reference purposes and we will not give this to anyone outside of the Running the Rift Ltd team. It will be deleted as soon as you are safe and sound in your home country.

We will ask you to provide us with:

  • Travel Insurance Policy Provider Name
  • Policy Number

A Note About Third Parties

Running the Rift Marathon Ltd utilises third party organisations to provide our Participants with services such as transportation, lodging, and medical supervision while they are attending RTR Events. Participants’ information will be provided to these parties on an as needed basis.

It is important to note that some of these organisations are located in countries not regulated by equivalent provisions to those in the Data Protection Act 1998 (DPA) and the EU General Data Protection Regulation (GDPR). As such, Running the Rift Ltd and Participants in RTR Events will not be able to rely on these provisions to ensure the security of personal data as defined within the DPA and GDPR. We request that these third-parties keep personal data confidential and to use it only for the purposes for which it is supplied and use reasonable endeavours to ensure their compliance with this request.

Access to Your Personal Information

You have the right to view, change, or delete any information that you provide to us at any time. Please contact Ellie Lacey at Ellie@runningtheriftmarathon.com with your request.

Policy Review and Revision

This Privacy Policy will be reviewed annually and revised as needed in order to ensure compliance with future legislation. All Running the Rift Ltd policies will be made available electronically on www.runningtheriftmarathon.com.
